5 Steps to Improve Documentation in the Restoration Industry

An easy, repeatable process that helps you build consistency, trust and defensible estimates

By Kayla McGowan
April 21, 2026

We’re back with another Technical Tip Tuesday, sponsored by DocuSketch. This week, Todd Sangid, Enterprise Solutions Consultant, breaks down one of the most critical, but often inconsistent, elements: having a repeatable documentation process.

Todd shares his simple, yet powerful five‑step routine restorers can follow on every loss, regardless of the size or scope. From conducting the initial walkthrough with the homeowner and actively listening, time dedicated to document, capturing the entire property using 360° documentation, setting clear expectations, and completing a final walkthrough before work begins, this five-step process creates consistency, efficiency, and defensibility.

Todd stresses that this process isn’t just about documentation, it’s about building trust with your customer. Establishing professionalism, clear communication, and expectations before placing a piece of equipment sets the tone for the entire project and leads to better outcomes for both the restorer and the homeowner.

Consistency builds confidence. Process builds protection. And better documentation leads to better results.

We’ll see you next week!
