How to Price and Bill for Contents Restoration

Annissa takes the time to explain time and material billing, documentation, and specialty pricing for contents restoration

Welcome to this week’s episode of Ask Annissa. On this episode, Annissa answers a question from Joe, a restorer looking for guidance on how to properly price and bill for logging non-restorable and non-salvageable contents.

There are several common approaches in the industry, including billing by the box, billing by the item, or using a time-and-materials model. Annissa’s preferred method is a hybrid approach that combines time and materials with specialty pricing for high-risk or high-value items. The Firehouse team has consistently used this method to deliver strong profitability while minimizing pushback from insurance carriers and adjusters.

For standard contents work, she recommends billing based on time and materials. Restorers should accurately calculate their labor burden, properly markup material costs, and include supervisor time where appropriate.

For specialty items, that’s where the hybrid model comes into play. When you have items with significant monetary value, sentimental value, or additional liability, you should price them differently from standard contents. Examples include heirloom china, wedding dresses, military uniforms, fine art, pianos, and other specialty contents.

Beyond pricing, Annissa stresses the importance of proper documentation. Detailed scope notes, thorough F9 notes, clear descriptions, and well-written invoices play a critical role in helping you get paid quickly and reduce disputes.

A Piece of Advice from Annissa: Make sure you know your labor burden, understand your material costs, charge appropriately for specialty items, and document everything. A well-structured billing process not only improves profitability, but also helps restorers get paid faster with fewer challenges from insurance companies.
