Starting a new job can feel like the first day of school—exciting, nerve-wracking, and filled with the unknown. As an employer, ensuring your new hire has a solid Launchpad for success is essential for growing and retaining incoming talent. A smooth, engaging onboarding experience can make all the difference and sets the stage for productivity and long-term retention. 

In this weekly how-to, powered by KnowHow, we’ll walk you through the essential steps to effectively onboard new employees. Whether you're welcoming a fresh face to your restoration crew or expanding your office team, a well-structured onboarding process ensures that every new team member feels valued, informed, and ready to hit the ground running.

Step 1: Introduce the Company Vision, Values, and Slogan

Kick off the onboarding journey by outlining the company's vision, values, and slogan. Break down any complex ideas into simple, clear language. Share real-life examples of how your team brings these principles to life. This step helps the new hire understand what drives your company and how they can be a part of it.

Step 2: Review Company Rules and Guidelines

Next up, guide them through the company rules and guidelines. Remember, people only retain about 30% of what they hear, so highlight the most important do’s and don'ts first. This way, they grasp the key points needed to navigate the workplace successfully.

Step 3: Verify Personal Information

Before moving on to courses, logins, or paperwork, double-check their personal information. Make sure you have the correct details, such as:

  • SSN/SIN number (if required)
  • Email address
  • Spelling and pronunciation of their name
  • Mailing address

Getting this right from the start helps avoid future mix-ups. Additionally, as today’s workforce becomes increasingly multicultural, asking about their preferred language for communication can help new employees feel more comfortable and supported on the job.


Step 4: Cover Safety Courses and Regulations

Ensure the new employee has access to all relevant safety courses and understands the necessary regulations specific to their role. Set a clear deadline for completing these safety courses or materials. This step is crucial for maintaining a safe working environment.


Step 5: Provide Necessary Materials and Equipment

Check that the new hire has all the materials, resources, and equipment they need before starting. This includes Personal Protective Equipment (PPE), technology, apps, and other resources specific to their role. Make sure they download any necessary communication apps and meet the minimum technological requirements. Set them up for success from day one.

Step 6: Schedule a Follow-Up Meeting

Finally, schedule a follow-up meeting for two weeks later (or whatever onboarding timeframe your company uses). This meeting is a check-in to see how they're settling in and to address any issues or concerns they might have. The goal is to tackle small problems before they become big ones.

Remember, onboarding isn't a one-off information dump. From company values and safety protocols to equipment usage and guidelines, there's a lot to remember during onboarding. It's impossible for new hires to retain everything the first time around. This follow-up meeting helps reinforce key points and provides ongoing support, ensuring new employees feel confident and well-prepared
